Group Operations Assistant -  6 month contract

About the Department.

The Asia Series Department handles the entire hotel booking process, to organise the tours. This involves liaising with our sales offices in Japan and Asia, who receive requests for hotel accommodation and tours from travel agents. We handle a variety of scenarios ranging from special requests for VIP clients to resolving complaints.

The role is designed mainly on visa duties to liaise with our office in Asia but also ensure that all hotel amendments, reconfirmation requests and any rates are correct and up to date on our in-house computer system.

Main Responsibilities

  • To contact hotels (by email/fax/phone) to advise rooming lists
  • Visa duties such as chasing hotels for visa letters
  • Creating visa letters
  • Administrating the visa chart efficiently
  • Obtaining replies from hotels regarding amendments based on our sales offices request
  • General administrative duties

Skills and Experience

Relevant Skills/Characteristics

  • Superb interpersonal and communication skills
  • Professional telephone manner
  • Ability to work under pressure and meet tight deadlines
  • Confident to work without supervision
  • Work effectively with a diverse team

Required Experience/Knowledge


  • Experience working in the travel industry or similar
  • Fluent spoken and written communication skills in English
  • Fluent spoken and written French
  • Sound knowledge of MS office applications


  • Travel industry background
  • Good Geographical knowledge
  • Flexibility to adapt to the varying requirements of the role
