About the Department

The Ad-Hoc Department handles many different kinds of Groups from Japan/Asia travelling around Europe. Each request is 'unique', with a different itinerary, purpose, and size. The department handles the whole booking process and each staff has own areas of responsibilities as well as supporting the rest of the Team as and when needed.

Job Purpose

We are currently seeking to recruit a Reservation Agent Assistant within our Ad hoc department to be responsible for our group hotel reservations in various parts of Europe.

Main Responsibilities

You would be responsible for delivering a high level of service to the group’s sales team based in China, South East Asia and Japan confirming ad hoc/tailor made group bookings within deadline, ensuring daily priorities as defined by the supervisor or manager are cleared each day. 

  • Research and contacting hotels of a defined area by phone, email or fax, checking availability, rates and conditions to make reservations.
  • Process bookings and inputting details/rates using Miki in house system
  • Negotiate rates and conditions such as cancellation and payment policies
  • Provide suitable alternatives as and when required
  • Prioritise hotels with partner agreement and group allocation, and dealing with amendments
  • Occasionally expected to negotiate overbooking situations, compensations and cancellation charges (depend on circumstances)
